dscout Live’s scheduling feature makes it easy to set your calendar availability and manage your session schedule. The scheduler is simple and editable, even post-launch; you can add, move, and remove unclaimed sessions freely. You can manage your Live session schedule from both the Setup page and the Manage page.

Setting your calendar availability on the Setup page

Before launching your Live mission, head to the Schedule tab of the Setup page. Under Session Details, set the length that each of your Live sessions will be. Note: you will be required to add the same number of time slots as participants you've invited in order to launch your mission. 

The Bulk Generate Time Slots widget allows you to automatically create a series of time slots based on your availability. To use this feature:

  • Expand the Bulk Generate Time Slots widget on the left hand side of the page.
  • Use the mini-calendar to specify your mission’s start and end dates.
  • Select the time window you’d like to bulk generate time slots in.
  • If desired, input a break time between time slots. This will determine the length of time auto-populated between each session.
  • Press ‘Generate Time Slots’ populate the calendar with time slots according to your selected preferences. 
  • Expand the "Require Advance Notice" menu and adjust the time as needed. This setting can be used to prevent scouts from scheduling a session last minute; for example, requiring 1 hour advance notice means that a scout can schedule a session for 11am no later than 10am.

To add individual time slots, simply single-click on your desired date/time in the calendar.

When editing your calendar via the Setup page, changes to your schedule will be auto-saved as you make edits before you’ve launched your mission. Tap here to learn more about publishing time slots when you’re making schedule changes after launching your mission.

 

Filter Schedule View by Moderator(s)

You can filter the schedule by moderator(s), which will update the calendar accordingly. If you select more than one moderator, you will see all corresponding time slots where those moderators are assigned.

 

Assigning Individual Time Slots

To assign individual moderator time slots, select the moderator (located under the “Filter Schedule View”). Then, single-click the calendar for your desired date/time. This will automatically assign the moderator and add their avatar profile icon on the time slot. 

If you’ve already created unassigned time slots, you can easily assign them to a singular moderator. To do so, select the moderator and the “Unassigned time slots” filter (located under the “Filter Schedule View”). Then, click on any relevant time slots and select “Assign to Select Moderator.”

 

Creating overlapping availability

If you want to run multiple Live sessions at the same time, the scheduler allows you to create simultaneous or overlapping time slots. Note that you will need multiple moderators in order to run simultaneous sessions — scouts will be able to choose from all available time slots.

Editing calendar availability on the Setup page

Once you’ve set up your calendar, you can click on an individual time slot to edit the start or end time, or simply click and drag. To delete a time slot, single-click on it and then click the ‘Delete’ icon in the top right corner. Note: it is not possible to delete time slots in the past, but scouts will only see available time slots in the future.

 

Publishing time slots

When adding new schedule time slots after launching your mission, you will need to publish the times so scouts can see your availability and schedule one of those sessions. To publish new time slots, simply tap the blue “Publish time slots” button in the top right corner of your calendar.

If you’re not ready to publish your time slots quite yet, that’s okay! Your unpublished time slots will be auto-saved and you can publish them at a later time. Published time slots are outlined in gray, while unpublished time slots are outlined in blue.

Note: changes such as deleting or editing time slots will be auto-saved and do not require publishing.

Using the Manage page calendar 

We recommend setting your initial calendar availability on the Setup page — but after launching your mission, you can easily make last-minute changes from the Manage page. Create individual time slots by single-clicking on your desired date/time in the calendar, and publish them when you’re ready to give scouts the ability to book those session times. Use the dropdown in the top right corner to adjust the time zone of your view if needed.

Note: when viewing your scheduler, participants will see time slots in their computer's or phone's time zone.

Scouts’ scheduled sessions will be reflected on the calendar. Click on a session time slot to designate the moderator(s), message the scout, or join the session. Click the ‘Options’ icon to the right of the scout’s name to add a session to your personal Google or Outlook calendar, reschedule the scout, or cancel the session.

If you manually schedule or reschedule a session that partially overlaps with an existing available time slot, be sure to delete the unwanted time slot from the calendar. This will prevent scouts from selecting this overlapping time slot.

Manually scheduling scouts

If you’d like to manually schedule a scout’s Live session, head to the Manage page. From the Calendar view, click ‘Schedule Now’ under the Scouts widget on the left hand side of the page. From the Scouts view, click ‘Schedule Now’ in the scout’s column. Manually-scheduled sessions will be reflected in the session calendar.

Note: participants' scheduling confirmation emails will be in the time zone dictated by their profile's location (i.e. scouts in New York City will receive a scheduling confirmation with the time zone converted + displayed in EST). If participants have not entered their location in their dscout profile, scheduling confirmation emails default to CST, and will display "CST" following the time of their session within the confirmation email.
